Office Administrator

We have a fantastic full time and permanent position for an experienced Office Administrator to join our client a busy accountancy practice based in the Cheadle, Stoke on Trent area.

You will work office based hours :

37.5 hours per week.  Monday to Wednesday 8.30am to 5.30pm, Thursday 8.30 to 5pm and Friday 9am to 1pm (30 minute lunch).

A salary of £24k plus generous benefits

Role & Responsibilities: 

  • Dealing with incoming and outgoing post
  • Reviewing letters and binding accounts for sending to clients
  • Answering phone calls from clients and government departments and transferring to the relevant team member and assisting clients where possible
  • Calling clients to request documentation
  • Maintaining work list and requesting records from clients
  • Being responsible for Job profiles to ensure accuracy and finalisation
  • E-mail reminders to ensure a smooth workflow for the team
  • Office filing
  • Greeting clients in reception
  • Making appointments for team members and clients
  • General office tidying
  • Booking-in clients records on in-house systems
  • Maintaining clients information on in-house systems
  • Extracting data from in-house systems for varying purposes
  • Scanning client records
  • Being able to identify missing information from clients records
  • Working alongside the directors to ensure deadlines are met throughout the office

Skills and Experience:

  • Training will be provided on all in-house systems but knowledge of HMRC routines and processes would be useful.
  • A professional and courteous telephone manner is important
  • Attention to detail and accuracy at all times
  • An ability to work to deadlines, organise workload, track progression of tasks and maintain a knowledge of clients and their information is also required.
  • Microsoft Office software, databases and mail merges.
  • Having a good working knowledge of internet search engines and understanding of internet links is a must.
  • Other in-house systems include Smartvault and TaxCalc which training will be given

The role will involve direct contact with all clients and the correct candidate therefore must have excellent interpersonal skills to ensure excellent customer service is maintained at all times
